There are a variety of reports located in Recur360 and in Pulse (Merchant Track).

Recur360

In Recur360 we have a reports menu, as well as various reporting tools throughout the platform.

Reports Menu

The most common area to find a report is directly in our reports menu. 

    • From the dashboard click Reports from the left menu. 

    • In Reports you will find a variety of Reports available

Your Reports section could look different depending on the features selected for your account.

If you have enabled the API feature on your account, you will see a report for API History

    • Here you will see a history of all changes and errors made through the API. 

Note: Any errors will be in red


In the event you are using the Avalara Tax software, we have a report for any errors received from Avalara. 

    • You can filter the report and download to an excel sheet if needed. 


In the Avalara Invoices it will show a report of all successful invoices using Avalara Tax. 

    • You can search for a customer type, filter the date, and download the report to an excel sheet. 


In the Avalara Tax Code Mapping you will see items linked to a specific Avalara Tax Code. 

    • The report will allow you to filter and can be downloaded to an excel sheet. 


The Cards Expiring report allows you to see a list of customers credit cards that are close to expiring.

    • On this report, you can see if the customer has been emailed about the expiration date to update it. 

    • To manage the cards expiring emails visit Settings- Account Settings- Customer/Payment Settings. 
    • Like other reports, you can search, use Filters and download.

The downloaded Excel report will include the:

    • Customer
    • Payment Processor
    • Last 4 of the Card Number
    • Expiration Date
    • Emailed Date

In the Credit Memos report you can view a list of credit memos created in either QuickBooks or Recur360.

    • If you click the QuickBooks # it will open more details of the credit memo. 

    •  You can search by customer or invoice number and adjust the date range displaying credit memos. 

    • You can download the report to an Excel sheet. 

This report will include columns for:

    • Date
    • Customer
    • QuickBooks #
    • Total Amount
    • Unapplied Amount
    • Invoice Date
    • Invoice Recur360 Id
    • QuickBooks INV

The Customer Information Editing report will show changes customers have made to their information, in the pay online link. 

    • If you have enabled the Customer Information editing option to approve any changes before they are made in your Email Settings, you will be able to approve or deny any changes in this report. 

    • You can search the report to show specific customers and download the report to an Excel sheet. 

The downloaded Excel report will include columns for:

    • Time Edited
    • Customer
    • Changes
    • Status

In the Deleted History report you will see any Invoices that were deleted from Recur360.

    • You can click the invoice to see the details of it. 
    • In the options menu you can make a copy of the invoice, or a recurring invoice from the invoice. 

    • You can filter the report and download  it to an Excel sheet as needed. 

The Excel report will include columns for:

    • Deleted/Last Modified Date
    • Invoice Date
    • Created Date
    • Customer
    • Customer Created Date
    • Customer Email
    • Customer Type
    • Customer QuickBooks Id

One of the most useful reports is the Deposits report. 

    • Here you can see deposits from Recur360Pay. 
    • If you use the scroll right icon ,  you can see if the deposit was written to QuickBooks. 

    • You can utilize the Filters to show only the deposits with errors. 

    • Clicking the Funding ID will redirect you to the deposit report in Pulse for additional information. 

The QuickBooks Deposits tab will show deposits recorded in QuickBooks. 

Remember the date range for the report can be adjusted, and the report can be downloaded to Excel  

The downloaded Excel report will include columns for:

    • RECUR360PAY Funding Id
    • Deposit Date
    • QuickBooks Deposit Id
    • RECUR360PAY Processing Type
    • RECUR360PAY Funding Status
    • Sales Count
    • Sales Total
    • Refund Count
    • Refund Total
    • Chargeback Count

With the DSTax Commodity Code Mapping report will show which items in QuickBooks have been mapped to a DSTax Commodity Code. 

    • This report is also able to be filtered and downloaded for convenience. 


Our Email History report will show all the emails sent from Recur360.

    • It defaults to show all finished emails. 

    • Clicking the delivery status will give more details on the email. 

    • Using the Scroll Right will show the type of email sent and the recipient's email address. 

Pending Emails:

To see the emails that are pending in the system click Filters  All Pending Emails. 

    • Here you can verify if there was an email schedule set up for a customer's invoice. 
    • Once a payment is made the occurrences stop automatically. 

    • If you would like to cancel an email schedule, click the scroll right icon

    • This will cancel the entire series for that invoice.

Note: If you cancel a schedule when it was not supposed to be, a new email schedule will need to be set up. 

If you would like to download the report select the download link in the upper right. 

The downloaded Excel report will include columns for:

    • Send Date
    • Created By
    • Customer
    • Customer Type
    • Recur360 Transaction Id
    • QuickBooks #
    • Txn Date

In the Invoice Errors report, you will find any errors related to your invoices. 

    • Use the Scroll Right button to see the error(s)

    • Errors can range from payment collection failures to tax code issues
    • Review the error to see how to correct any issues. 

    • This report is also able to be downloaded to an Excel sheet.

The Invoice History report has all invoices from Recur360 and QuickBooks. 

    • This report will default showing only invoices generated by Recur360

    • To see all invoices click Filters,  Show All Invoices

    •  You have the ability to search for specific customers and change the date range. 

    • Using the Filters  option allows you narrow the date range based on the invoice date or created date.

    • And/or Invoice Type. 

The Invoice History can be downloaded  to an Excel sheet.

The Excel sheet will include columns for:

    • Invoice Date
    • Created Date
    • Customer
    • Customer Created Date
    • Customer Email

If you would like to view a list of items used on invoices, our Invoice Lines report shows each line item used in one place. 

    • The list will default to invoices generated in Recur360.

    • Click Filters and uncheck Show Only Invoices Generated By Recur360 to see invoices from QuickBooks as well. 


You will be able to see the invoice number, customer, product or service, and a description of the item. 

    • Click the Scroll Right    to see the Quantity, Rate, and Amount. 

Utilize the search function and download the report at any time

Payment Errors will show a report of all payments that had errors. 

This can include but is not limited to:

    • Declined credit card transactions
    • and over the limit ACH declines

    • The report can be narrowed down with the search and the date range can be adjusted.
    • Downloaded the report to an Excel sheet. 

In the Excel sheet, you will see columns for:

    • Date
    • Created By
    • Customer
    • Amount
    • Invoice Recur360 Id
    • QuickBooks INV
    • Processor
    • Type
    • Payment Details
    • Error Details
    • RECUR360PAY Response
    • Issuer Response

Payment History is a report that will show all payments that have been made. 

    • These can be payments processed through Recur360Pay, or payments recorded manually in Recur360. 

    • Selecting Scroll Right will show more details of the transaction, as well as have the option to void/refund the payment. 

Note: This option is only available with Payment Processor automations set up. Visit our Recur360Pay Refunds article for more information. 

    • The report will default with payments that were generated in Recur360.
    • Click Filters,  Show All Payments as they are in QuickBooks to show all payments in both Recur360 and QuickBooks for the date range selected. 

    • Use the search, or adjust the date range and download   the report to an Excel sheet. 

The Excel sheet will have columns for:

    • Time Created
    • QuickBooks Date
    • Created By
    • Customer
    • Account Holder Name
    • Customer Type
    • Recur360 Id
    • Amount
    • Unapplied Amount
    • Invoice Date

In the Payment Methods report you will find a complete list of payment methods for your customers. 

Note: The full credit card number is not located anywhere in the Recur360 platform, it is stored with Fullsteam We use a token that is sent to Fullsteam to complete the transaction. 

You are able to search throughout the report, and download  the report to an Excel sheet. 

 This report will show columns for:

    • Date Added
    • Customer
    • Email Address 
    • Payment Processor
    • Payment Type
    • Details
    • Added By
    • Recurring Invoices
    • Recurring Payments

In the Recur360Pay Transaction History report you will find a complete list of processed transactions

    • This list defaults to all transactions within the last 30 days

In this report you will be able to see:

    • The date and time the payment was created 
    • Who it was created by 
    • The customer the payment was for
    • Type of payment 
    • The invoice(s) the payment was applied to 
    • The amount of the payment 

Clicking the Scroll Right will show more columns

Now you will be able to see the:

    • Payment details 
    • Processor it went through 
    • Settlement date (Date it is sent to bank)
    • An option to Void/Refund the payment

Note: The option for Void/Refund Payment  will not work if the automations are not setup in Settings-Payment Processors. Click here for more information

You can utilize the search function , or click Filters to narrow the results with the payment type or payment status. 

    • The payment type can be restricted to credit card or ACH only  

Under status you can select payments that have:

    • Batched 
    • Settled
    • ACH Returned 
    • Charge Backed 
    • Partially Charged Back

You are able to change the date range, and download the report to an Excel sheet. 

The Excel sheet will have columns for:

    •  Time Created
    • Created By
    • Customer

Our Recurring Invoice Lines report will show a breakdown of all the line items on recurring invoices.

This report will show:

    • The next recur period for the line item

    • Line item description

Clicking the Scroll Right button will show:

    • Frequency
    • End date 
    • Location 
    • Customer Type
    • Payment type 

Once the search is utilized and date range has been applied, the report can be downloaded to an Excel sheet  

The Excel sheet will include columns for:

In the Scheduled Payments report you will see a list of upcoming payments that have already been scheduled. 

These can include payments scheduled from recurring invoices, recurring payments, scheduled from invoices, or scheduled from the Open Invoice Sync section of the Account Settings. 

You can search the report for customer, invoice number, amount, last 4 #'s of the credit card, etc. 

Towards the right, you will see the options to either Process Payment Now , or you can delete the scheduled payment. 

    • In the upper right the list can be downloaded to an Excel sheet 

The Excel sheet will include columns for:

    • Date
    • Customer
    • Recur360 Id
    • QuickBooks INV
    • Balance 
    • Scheduled Amount
    • Payment Details
    • Send Success Email

The Scheduled Recurring Invoices report is tied to an additional feature

You will be able to see what the change is, what customer it is for, and when the change starts. 

If you have selected to have the customers approve the change first, it will be highlighted in red. 

    • You can filter by customer name or customer type and download the report to an Excel sheet.

An essential report for any accounting toolbox is the Processed Void/Refund History report. 

    • Here you can see all the refunds and/or voids processed on your account in one place. 

You will be able to see:

    • The date and time the Void/Refund was created
    • What user created the Void/Refund 
    • The Customers Name 
    • Customer Type 
    • Void/Refund Type 
    • Amount of the Void/Refund 
    • The Invoice Number 
    • Payment Type
    • Account Holders Name. 

Clicking the Scroll Right will display:

    • The Payment Details 
    • Void/Refund ID 
    • Original Payment ID 

    • If you would like to see just the voids, or only the refunds, click the Filters in the upper left by the search  
    • Here you will be able to switch the report to show just the voids or only the refunds processed. 

 Once the report has been filtered, it can be downloaded to an Excel sheet. 

The Excel sheet will include columns for:

    • Time Created
    • Created By
    • Customer
    • Account Holder Name
    • Customer Type
    • Recur360 Id
    • Void/Refund Type
    • Amount
    • Invoice Date
    • QuickBooks INV

Dashboard

On your dashboard there are reporting options to make sure you can quickly see some of the most important things.

Page Options

The default time periods displayed on the tiles, graph, and activity are managed in the Page Options.  

    • If you visit the page options in the upper right, you can set the correct options for your needs. 

    • Here is where you can set the time period for the tiles and graph that are displayed.
    • They can be set for Daily, Weekly, Or Monthly. 

    • Above the Save & Close option, you will see where you can set the number of days associated with the period selected. 

    • If you choose daily, according to this screenshot it will include 7 days on the charts. 

    • For the Weekly option, it is set to show 30 weeks. 

This screenshot shows the monthly option set for 12 months. 

Note: The tiles across the top of the dashboard will show 1 day, 1 week, or 1 month depending on the default selected, except for the open invoices tile which does not change. 

 

Example: If you select Daily and the # of days is 7, the tiles will show the last 1 day, and the graph will show the last 7 days. 


Filters

The filters are in the upper right of your dashboard. 

    • They allow for easy filtering without having to change the defaults in the Page Options.

    • In the filters, you can quickly change the period that the tiles and graph display. 

 

Note: The default values are set in the Page Options

 

Under the Other Options you can quickly change if the tiles and graph include invoices synced in from QuickBooks, and you will have the option to show Recur360 Pending invoices separately


Top Tiles Click on a tile to expand the section

The Open Invoices tile will show all the invoices currently in the Collections Center.

    • This tile does not change with any filters.
    • Clicking the tile will take you to the Collections Center.



On the Invoices tile you will see the number and balance of invoices created for the default or filtered period of time. 

    • Use the Filters to change the period the tile displays 
    • Clicking the tile will take you to the Invoice History report. 

Note: Daily filters will show the last 1 day, not the number of days listed in the Page Options.


The Payments tile will show the number and balance of payments received for the default or filtered period of time.

  • Use the Filters to change the period the tile displays 
  • Clicking the tile will take you to the Payment History report. 

Note: Daily filters will show the last 1 day, not the number of days listed in the Page Options.


On the Emails tile you will see the number of emails sent for the default or filtered period of time. 

    • Use the Filters to change the period the tile displays 
    • Clicking the tile will take you to the Email History report. 

Note: Daily filters will show the last 1 day, not the number of days listed in the Page Options.


Graph

The graph will show the invoices created and payments received for the default or filtered period of time. 

  • Use the Filters    to change the period the graph displays 
  • Clicking the Tile Options    let you change the graph from dollar amount to invoice/payment count. 


Recent Recur360 Activity

In the Recent Recur360 Activity you will see all recent invoices, payments, and emails. 

    • If you click the tile options you can change it to show invoices only, payments only, emails only, or view all.  


Recurring Invoices

The Recurring Invoices option is available on the left menu.

 

There are 2 types of reports available for recurring invoices, Active and Completed.

Active

The default report will be your active recurring invoices. 

On the active recurring invoices, you will see:

    • Plan
    • Customer Name 
    • Customer Type
    • End Date 
    • Frequency 
    • Most Recent Invoice Date 
    • Description 
    • Amount 
    • Next Recur Period
    • Location 
    • Terms 

And if you use the scroll right button

You will see:

    • Custom Fields 
    • If the Email Invoice option is turned on 
    • If the Invoice is needing to be emailed 
    • If there are any invoice changes that need customer approval 
    • The last status 
    • What user last edited the recurring invoice 
    • An edit option

You can narrow the report by searching for a customer name, customer type, plan, or amount.

Using the Filters    will let you search invoices that did not process due to errors and quickly sort by customer type. 

    • If you need to download the report of recurring invoices click the download   in the top right, then download CSV  

The Excel sheet will have columns for:

    • Plan
    • Customer
    • Account Number (QuickBooks Desktop)
    • Customer Type
    • Customer QuickBooks Id
    • End Date
    • End Type

The default report will be your active recurring invoices. 

    • Click the Completed tab to see the completed recurring invoices.

Recurring Payments

The Recurring Payments section is available on the left menu.

 

There are 2 types of reports available for recurring payments, Active and Completed.

Collections Center

One of the most useful reports is our Collections Center report

    • Simply click Collections Center from the left menu. 

    • Here you will see a list of all invoices with an open balance. (Unpaid)
    • Click an invoice number to open the invoice
    • Clicking the customer's name will take you to the customer profile

    • By selecting the checkbox to the left of the open invoice(s), a popup options banner will populate 

In the options you will be able to either:

    • Send an email, or schedule a series of emails until the balance on the invoice is paid.
    • Record a manual payment. (This is only a record of payment, not a processed payment)
    • Process a payment(s) on one, or multiple invoices. 

Under the Filters you will find that you can filter by location, date range, or select what invoices to display.  

You can search the report and download it the report in the upper right. 

The Excel sheet will include columns for:

    • Invoice Date
    • Customer

Invoice Center

On the left menu, you will find the option for the Invoice Center. 

    • In the Invoice Center you will be able to see different tabs of reports

    • Clicking the Page Options in the upper right next the download option, will allow you to change the tab that displays by default.

All Invoices

The Invoice Center will default you on the All Invoices tab unless changed in the page options. 

    • This tab will show all invoices for the date range selected.
    • The default is 30 days. 

    • Filter the report by the date it was created, or by the invoice date, or only show invoices marked as To Be Emailed In Recur360. 

 

Search for a specific customer and download the results to an Excel sheet.

Paid Invoices

The Invoice Center will default you on the All Invoices tab, unless changed in the page options. 

To see the paid invoices report click the Paid Invoices tab at the top of the page.

    • This tab will show all invoices for the date range selected.

    • You can search  for specific customers/types and download the report to an Excel sheet.

When a Recur360 pending invoice is paid it will convert to a regular invoice and post to QuickBooks. 

    • This report will show all converted invoices in one place, for the date range selected. 
    • Defaults, are the previous 30 days.

    • Utilize the search to narrow the results for customers/customer types.
    • The report can be downloaded  into an Excel sheet.

If you need a report with customer information, head to the left menu and select Customers. 

    • In the Customers report you will be able to see a full list of customers 
    • Use the Filters option next to the search  to narrow down the results. 
    • The Include Inactive option is the only way to display customers made inactive.

    • You're able to download a report to an Excel sheet.

Pulse (Merchant Track)

The Merchant Track Icon remains in the same place, but has been renamed Pulse.

Once logged in you will see a entirely new dashboard!!

    • The Dashboard can go from light mode to dark mode, depending on your browser settings.

In the reporting option on the left menu, you will find the Report Explorer and the Large exports. 


Report Explorer


At the top of the Funding Summary report, you will see the filters. 

    • Make sure you have the correct merchant account selected for the search.  

    • Click the Funding ID for the details of the deposit. 

    • To see the details of a transaction in the deposit, click the Transaction ID. 


Filters are located at the top of the Funding By Transaction report. 

    • Make sure the filters match the merchant account and date range needed. 

    • The main page will show a variety of information including the transaction amount and date funded. 
    • Click the Transaction ID to see details on the transaction. 


Recur360Pay does not use this feature at this time. 


The Transaction Summary Report will show a breakdown of transactions that were run on a particular date. 

    • You will see the date, how many transactions there were, and the amount.

Clicking the arrow to the right opens a summary of the types of payment methods, how many, and the number of sales. 


The Transactions Report shows the Transaction ID, Date, Invoice number (if one is available), account last four, amount, and status. 

    • To see the individual details of a transaction, click the Transaction ID. 


The Chargebacks Summary Report will display chargebacks based off of the selected filters. 

    • This list will show a summary of chargebacks that have come through. 
    • If there are multiple on the same day, the count will reflect there are 2. 

In the Chargebacks Report, you will see chargebacks based on the selected filters. 

    • To see the details of a chargeback, click the Chargeback ID. 


In the ChargeBacks Action Report, you will see a list of the charge backs. 

    • Under the Action Type column, you will see what the next step for you is. 


The Merchant Statement is a complete record of the transactions and fees for any given month. 

    • Select the account, month and year then click view. 

MERCHANT STATEMENT SECTIONS

  • Summary is not the summary for the entire statement but is only referenced for summary by day, all the transactions processed during that month. This is affected by batch cutoff times.
    • The standard batch time is 8:05 PM CST 
  • Summary by Day - is a summary of transactions by day which includes refunds, chargebacks, and fees
  • Summary by Payment Method – is a summary of payment methods (card brands e.g. Visa, Mastercard, Discover, and American Express) of transactions processed during the month
  • Summary by Deposit - is a summary of deposits received within the selected month
  • Fee Summary – is a summary of fees in the selected month but will be for card brand fees from transactions processed two months prior

Chargeback Summary – is a summary of any chargebacks that occurred within the selected month


MERCHANT STATEMENT OVERVIEW

The Merchant Deposits Report will show your monthly funding summary, as well as showing the summary of the deposits into your account. 

    • If you click the Funding ID you will see further details for that deposit. 

Note: Please keep in mind these screenshots are from a demo account not really receiving deposits. Yours may look slightly different. 


The EFT Returns Summary will show the ACH returns for merchant account and date range selected. 

    • If there are multiple returns on the same day, the count will show and the return total is the overall total for both.


In the EFT Return Report you will see all of the ACH returns for the merchant account and date range selected. 

On this report will be the return code, return description, amount, and date, and fee charged to you. 

    • If you click the Transaction ID it will open more details of the original transaction. 


Recur360Pay does not use gift cards at this time.

Large Exports

When exporting large files, they will show in this section. 

    • You can refresh the screen at any time to see if the export is ready to be downloaded.
